Looking for a polished, professional, detail oriented Executive Assistant with keen social skills, discretion, and diplomacy with a pro-active work style who wants to work in a creative environment.
Description:
The Executive Assistant at Dailey plays a vital role in the company's success, working directly with the President and Chief Creative Officer, and providing support to management at all levels of the agency while frequently interacting with clients and business partners. Your excellent communications skills will be put to the test, as will your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced agency environment.
Heavy calendar management utilizing Microsoft Outlook
Screening incoming phone calls
Scheduling and coordination of meetings and events
Creation of reports and high quality presentations
Coordination of travel arrangements, processing expense reports and invoices
Editing and proofing memos and written correspondence
Maintain monthly and quarterly new business pipeline and other requests from the parent company (IPG)
Planning and coordinating internal office events
Bachelor's degree
3+ years of executive administrative work at a senior level
Polished presence with professional maturity and previous corporate environment experience
Demonstrated ability to take initiative, anticipate needs of the executives and exercise independent, sound judgment
Direct experience dealing with sensitive and conflicting situations in a diplomatic manner
Ability to effectively interact with senior level management and maintain a high level of confidentiality
Proficiency in Microsoft Office software (Word, Excel, PowerPoint, Keynote and Outlook) and savvy with internet research
Excellent writing and grammatical skills (i.e. for generating and editing memos)
Must be extremely detail-oriented and possess strong communication and organizational skills
Strong ability to multi-task, react and think quickly
Self-starter with strong sense of ownership and involvement is critical
Must be flexible enough to work overtime if needed
Ability to seek clarification or assistance when needed
Desire to work as a true partner with the President and Chief Creative Officer, and work collaboratively with the staff and outside contacts
Willingness to get involved with the work of the larger team
Ability to build a great rapport with the staff and clients
