Job Summary
We are currently seeking a dynamic and highly-motivated bilingual English/Spanish Multicultural Department Coordinator. The Multicultural Department Coordinator will provide support to the Multicultural Producer through the coordination of day-to-day administrative functions, maintain communication with both internal and external parties, and serve as a point of contact for the Multicultural Department. This is a part-time opportunity working 20 hours per week.
The ideal candidate must be bilingual in English and Spanish, have excellent organizational and communication skills, demonstrate a strong attention to detail, and possess solid follow-through skills to meet multiple deadlines.
Job Duties and Responsibilities
• Assists with status reports for each project, tracks project timelines, and follows up on action items
• Proofreads and edits documents in Spanish
• Provides time-sensitive research, brainstorms, and prepares presentation materials
• Provides billing assistance to include creating purchase order requests and handles vendor invoices
• Provides administrative support including handling emails, setting up conference calls, taking notes, providing reminders, and overall support for the Producer and projects
• Manages calendar and schedules/coordinates meetings; handles meeting conflicts and prioritization of related matters
• Arranges necessary travel, hotel accommodations, and itineraries
Qualifications
• Bilingual fluent in English and Spanish with excellent verbal and written communication skills
• Spanish language proficiency in reading, writing, and grammar skills
• Ability to work independently with a high level of initiative
• Outstanding follow-through and follow-up skills to meet deadlines
• Ability to maintain a high level of confidentiality
• Must be service oriented with the ability to interact effectively and professionally with all levels of a company, outside clients, and vendors
• Excellent computer skills including MS Word, Excel, Outlook, Mac OS, and internet research
• A positive attitude and enthusiasm for being part of a creative team
• Understanding of entertainment advertising/marketing within the Hispanic market a plus
Education and Experience
• Bachelor's degree in Advertising, Marketing, Film/TV, Media, Communications or related field from an accredited college or university or equivalent work experience
• A minimum of 1 year administrative assistant experience
