Title: Executive Assistant
Department: Corbis Entertainment
Reports to: EVP, Corbis Entertainment
Purpose
This position is highly visible, acting as right-hand person and special assistant to the Executive. This position is essential to the internal operations of the company, with focus on providing proactive, detail-oriented support to the Executive and 1 – 2 senior level Entertainment team members.
Responsibilities
• Develop and manage daily requirements and priorities for the Executive
• Develop and manage complex meeting schedules, including preparation to follow-up
• Develop and manage complex domestic and international travel, including pre-planning through follow-up and final expense reimbursements
• Manage document and presentation generation, including drafting, revising, finalizing and transmitting.
• Process daily paperwork, including document execution, accounts payable, expense reimbursements, correspondence and agreements, conference registrations, routing material, filing, etc.
• Organize and manage strategic planning retreats, and miscellaneous team events.
• Plan and manage space and equipment needs, as well as asset tracking
• Anticipate, to a reasonable degree and respond to business needs of the Executive and 1 – 2 senior level Entertainment team members
• Communicate on behalf of Executive and others via email, phone and correspondence (w/direction)
Qualifications and Skills Required:
• The ideal candidate will have a minimum of 5 years administrative and Executive assistant experience including 2-5 years experience supporting a senior level Executive in fast-paced environments.
• The ideal candidate will have interest in movies, television, and/or sports.
• Candidate must have excellent verbal and written communication skills, be self-motivated, capable of working without supervision, under pressure and within short time constraints.
• Proficiency in Excel and PowerPoint required.
• Must have the ability to work effectively with all levels of the organization, as well as the ability to complete high volumes of complex tasks and projects quickly with little to no guidance.
• Must have the ability to act independently to determine methods and procedures on new assignments.
• Must have excellent organization, communication, and interpersonal skills, strong work ethic and a high level of integrity and discretion in handling confidential information, as well as professionalism in dealing with senior professionals inside and outside the company.
• Must have the ability to react with appropriate urgency to situations and events that require quick responses, and take effective action without knowing the total picture.
• Relies on experience, judgment and pro-active problem solving to plan and accomplish goals.
