Scout Staffing is actively seeking an experienced and personable Administration and Licensing Manager for Nashville's fastest-growing independent record label. Working closely with the Director of Administration and VP of Publishing, this role includes both publishing and record label administration duties while also managing a full-time coordinator. As the Administration and Licensing Manager you will:
• Oversee commercial product licensing including maintaining release calendar, reviewing songs and product entered into royalty software, publisher licensing
• Set up product licenses in royalty software for proper distribution
• Prep incoming licenses for review and address any necessary negotiations
• Monitor public licensing email folder and assign incoming licensing requests
• Enter synchronization quotes into licensing software and prepare for approval
• Maintain synchronization use confirmations, prepare licenses and request invoices from Finance department
• Follow up on synchronization quotes to confirm usage
• Receive publisher clearances and license special projects as needed
• Field and prepare radio promotional asset waivers
• Work with Finance department to ensure proper payment of licenses
• Review new publishing songs in the royalty software for accuracy
• Ensure contractual obligations for song quotas are met by writers
• Ensure active publishing songs are prepared for registration
• Prepare mechanical and synchronization licenses
• Conduct audits of PRO databases to ensure proper registration of works
• Oversee and manage department Coordinator and interns
In order to be successful you must have:
• Passion for licensing and music administration
• 3-5 years of experience in record label and/or publishing administration and licensing preferred
• Experience with Counterpoint or similar royalty software
• Strong analytical skills, detailed-oriented, and ability to effectively multi-task
• Ability to learn new concepts, processes, and procedures quickly
