Perform analysis of income statements received to ensure valid rates, details and royalties paid by distribution partners based on a thorough review of all data and applicable contract terms
Format and prepare sales uploads for Record Maestro within one month of receipt according to department policies
Research and correct sales upload product errors in Record Maestro
Allocate and format recoupable expenses and advance payments for artists
Respond to publisher and artist/producer representative questions about statements within one week of receipt
Review all mechanical, artist and producer statements for accuracy and adjustments during quarterly and semi-annual processing periods
Attach products to new contracts and royaltors with guidance from Director of Royalties
Prepare payment uploads for royalty system during each processing period
Ensure address information and changes of administration are correct in Record Maestro and accounting system
Review income statements for database entry to ensure all sales information is properly reflected
Support requests for audit information, including pulling historical data and performing internal analysis on audit points
Compile product listings from database to compare product configurations against sales lines received monthly
Analyze historical income for acquired catalogs and compare to income received after acquisition
Analyze returns received over the previous quarter in a timely fashion
Work closely with all applicable departments to review contracts, licenses and deal points to maintain a detailed and trackable schedule of all income sources to ensure company is receiving income and payments for all projects as contractually provided
Summarize key contract details for Royalty Department
Publishing
Responsible for daily functions within the royalty department for the music publishing company, ensuring on-time royalty calculations, recoupable expense reductions, and client statement preparation and submissions
Allocate all songwriter, co-publisher and joint venture expenses based on contractual requirements
Analyze income statements received to ensure correct shares and payment details are received
Track income received for all licenses issued and follow up on any licensees who have not provided accurate reporting data
Review all royalty statements for accuracy in rates and contract terms during semi-annual processing periods
Maintain and update publishing company's sales database files and import all royalty base information into Counterpoint
Prepare contract and royaltor setups in Music Maestro based on applicable agreements
Provide royalty related analysis and reporting upon request and related to projects or inquiries.
Respond to all royalty inquiries within one week of submission and update all assigned support cases
Assist in pulling data and providing analysis of past sales for all royalty audits
Issue all demo cost and joint venture cost participation invoices on a monthly basis
Follow up on all outstanding accounts receivable by the 10th of each month, generating customer account statements and making collection calls for all invoices more than 60 days old, documenting all communications
Troubleshoot and log all issues with CounterPoint for licensing & royalty teams
Track and update class codes generated by finance department
File all updates or renewals for publishing contracts and joint ventures to ensure accurate deal points are available for Royalty Department
Additional Responsibilities
Support the Director of Royalties and VP of Finance in higher-level special projects and assignments
Work closely with external partners to build and maintain strong relationships to better ensure timely and supportive communications that resolve discrepancies and improve efficiencies for all parties
Maintain a departmental culture of exceptional service and support to all company employees and royaltors
Key Attributes
Minimum of 5 years of experience in royalty processing at a record label, publishing group, artist business management or royalty auditing firm
Experience with Counterpoint Record Maestro and Music Maestro systems highly preferred
Excellent knowledge of Excel with high degree of familiarity with pivot tables, lookup tables and filters
Experience using accounting software to enter bills and update vendor information (NetSuite preferred)
Be willing to schedule yearly time off around fixed due dates for royalty statements (February 15, March 31, May 15, August 15, September 30, November 15)
Requirements
