Job Summary:
Serves as the Company's initial representative to clients and the public and as the overall communications hub of the Company. Answers all incoming phone lines and delivers messages accordingly.
Primary Responsibilities:
•Serves as Company's initial representative to clients, the public, and employees both in person and on the phone; demonstrates friendly and positive demeanor.
•Unlocks/locks front doors in the morning and at night, checks and delivers any overnight messages, opens and closes gates as necessary.
•Answers all incoming phone lines and ensures that calls are transferred accurately.
•Takes precise messages when necessary; delivers all messages in a timely manner.
•Demonstrates a keen awareness of the whereabouts of all employees and clients throughout the day.
•Implements visitor procedure (greets visitors and has them sign in, issues visitor badge, keeps track of whereabouts).
•Maintains the guest list and vacation schedule on a daily basis.
•Distributes mail to employees as needed.
•Manages conference room schedule.
•Creates and sends meeting requests via Outlook calendar.
•Assists Human Resources with administrative tasks including but not limited to: filing, timesheets, and PTO confirmation emails.
•Completes Purchase Orders for Operations when necessary.
General Requirements:
Knowledge of the Company's industry and general operations of the business. Ability to multi-task while exhibiting excellent attention to detail; superb customer service skills; ability to prioritize and problem solve; must be punctual and reliable; must demonstrate excellent verbal and written communication skills (including phone and paging etiquette); must possess a professional appearance. Experience with Microsoft Office Suite including Word, Excel, and Outlook are required.
Educational Requirements:
Bachelor's Degree; administrative experience required; reception experience preferred.
Certificates and Licenses Required:
None.
Physical Requirements:
General office setting; no special requirements.
Employee must be able to maintain a flexible schedule to fit the needs of this position.
