Independent film production, finance, sales, and acquisitions company based in Century City, is seeking a receptionist.
You will be the first point of contact for incoming guests and visitors. You will be responsible for answering phones and assisting with office projects. Excellent communication skills, good phone presence, and a friendly demeanor is required. This position requires someone with at least 6 months of previous reception experience and the ability to multi-task. Must be well spoken, organized, polite, and extremely customer service oriented, computer proficiency (Excel, Word) and the ability to do spreadsheets and related office experience is a preferred.
Duties and Responsibilities:
• Ensure that visitors and callers are greeted in a professional, courteous and welcoming manner
• Direct incoming phone calls to appropriate staff members. Promptly take messages in a complete and clear manner
• Receive and distribute incoming mail and faxes. Ensure that outgoing mail is deposited with the postal service
• Responsible for opening and closing the office on a daily basis
• Manages conference room schedules, food orders from outside vendors, sets up conference rooms appropriately
• Responsible for keeping the office daily upkeep and restock for kitchen ensuring the office is orderly and tidy at all times
• Supports administrative team with tasks such as project filing, document typing
• Performs special tasks such as processing expense reports and timesheets
• Ensure that an adequate inventory of office supplies is on hand by taking a weekly accounting and creating a request for supplies. Place all orders and distribute supplies when received
• Assist with office errands as needed
• Assist with various projects the office manager may have on a daily basis
