Prominent music booking agency currently seeking a receptionist
Previous receptionists that excelled were extremely organized, articulate, upbeat, friendly and had excellent phone etiquette and communication skills. The ideal candidate should be energetic with a strong work ethic and an ability to remain focused and detail oriented while multi-tasking as our phone lines are constantly ringing.
Reception duties include, but are not limited to:
• Answering busy phone lines, screening calls to assistants and agents
• Preparing the kitchen in the morning and maintaining the tidiness of it throughout the day
• Maintaining the tidiness of reception and the common areas of the office
• Greeting visitors as they arrive and alerting the appropriate parties of said arrival
• Scheduling conference rooms for meetings and setting them up prior to when meetings begin
• Keeping track of all scheduled conference calls
• Occasional special office projects coordinated by our office manager
• Handling mail collection and distribution, with help from our office assistants
Position may also occasionally include some assistant work (ticket counts, contract and deposit tracking, entering offers) although not initially or for the first few months until proficiency is shown at the reception position.
> > Note that this is not the appropriate position for someone looking to become an agent assistant.
Requirements:
The ideal candidate is someone who is able to start as soon as possible (slightly flexible) and can commit to this position for a minimum of 1-2 years.
Previous reception and/or admin experience required, basic music industry knowledge preferred.
Excellent organizational skills are mandatory. Candidate must be highly proficient with Microsoft Office, including Microsoft Excel.
