The Production Finance Manager will be responsible for Managing the workflow of post production and related financial tracking for the On-Air Operations department. Finance duties including managing monthly accrual process, vendor and payroll set up, managing payment processes, tracking financials, and initiating and maintaining vendor relationships. Additional responsibilities include post-production scheduling, project budget tracking and production personnel resource management. He/She will serve as the day-to-day liaison between the Creative Service Department and Finance, project based freelance producers and editors and outside vendors to promote efficient, timely asset delivery and adherence to procedure. The candidate must be detailed oriented with excellent organizational, multi-tasking and communication skills.
PRINCIPAL RESPONSIBILITIES:
•Manage the coordination and scheduling, and booking of all post-production sessions (facilities, editors, producers, audio mixes, etc.) and maintain production calendar.
•Work with outside vendors, producers and editors coordinating resources
•Negotiate and book talent for post-production sessions such as editors, producers, voiceover talent, etc.
•Manage the Accounts Payable functions of Creative Services (Collect and process invoices for vendor payments as well as track invoices in AP Log, reconciling against bookings to ensure accuracy, etc)
•Manage Production Finance Assistant in date entry into THE MARKET financial system, as well as with reconciliation and coding of invoices for vendor payments.
•Liaise with Finance to ensure accuracy of coding and timeliness of all payments to vendors.
•Manage monthly accrual process (track, compile and submit for Creative Services as well as work provided by Creative Services for other departments such as Marketing.)
•Initiate contract requests for third party productions and talent on behalf of Creative Services. Liaison between Legal team and third parties with inquiries.
•Set up new vendors in THE SWIM payment system
•Initiate & manage the ''engagement process for non-staff on-boarding
• Partner with temporary staffing representatives in order to process and set up temporary freelancers in respective payroll systems
•Work closely with the VP of Creative Operations and the Director of Production to anticipate production needs, issues and ensure the on-time and on-budget delivery of projects
•Clearly communicate anticipated and unanticipated problems to the VP of Creative Operations and assist in trouble-shooting.
SECONDARY RESPONSIBILITIES:
•Generate and compile accurate freelancer time sheets on behalf of Vice President of Creative Operations and input in Accounts Payable log.
•Create and maintain spreadsheets for data tracking.
•Support in Awards process, including completing submission materials and entry forms
•Attend relevant department/project status meetings.
•Work closely with the VP of Creative Operations to streamline systems and procedures.
•Organize and maintain vendor and contract files.
•Oversee the reporting if music usage into Q (MTVN music reporting software)
•Work closely with the Department Assistant in managing overall department workflow.
JOB SKILLS:
•Highly organized and detail oriented
•Thorough knowledge of promo, post production, and operations
•Excellent computer skills: data-base management, etc
•Ability to manage and maintain work systems and procedures
•Excellent communication skills
•Ability to prioritize and work both independently and with a team under tight deadlines
•Expereience with SAP/ Market/ Viacom Finance systems a HUGE Plus!
EXPERIENCE:
•4-5+ years experience in TV/entertainment industry
•Experience in promo production workflow
•Familiarity with operational procedures and project budgets
•Knowledge of Excel, The Market, OAP
EDUCATION:
•College degree or equivalent relevant experience
