Position Overview:
Scheduler/Pre-biller provides support to Post Producer and CFO by scheduling and managing all Post-Production and internal workflows, daily review of work orders to assure accuracy and completeness, reviewing completed Work Orders with Post-Producer, generating pre-bills, submitting pre-bills to clients for approval, and other Post Operations duties as requested. **ScheduAll expreience highly preferred.
Essential Job Functions
• Client Representative
o Provide to and collect from Client setup forms so that they are properly setup in both ScheduAll and QuickBooks
o Provide Client with up-to-date contact sheet
o Collect relevant information from Client (contact sheet, calendar, scripts, etc.)
o Communication with Client to understand needs and deadlines, answer questions, address concerns, schedule time with staff
o Update Clients regarding progress and/or delays
o Liaison between client and staff
o Create dub requests, providing slate and label information to Operations Asst.
• Scheduling
o Collect calendar/schedule for each show with deadlines
o Schedule all Post work in ScheduAll
o Schedule all Internal work in ScheduAll (meetings, training, marketing, etc.)
o Oversee handoff of work to night shift, communicating priorities and deadlines
o Coordinate with Asset Manager for Installations and Breakdowns, scheduling as necessary
o Arrange pickups/QC of assets at end of projects
o Maintain list of Internal Projects and incorporate into schedule
• Pre-billing
o Monitor time entries on a daily basis, working with staff to make corrections
o Review completed Work Orders with Post Producer
o Generate pre-bill (ScheduAll or QuickBooks)
o Submit to client for approval in a timely manner
o Facilitate timely receipt of necessary information from client (POs, decisions that affect billing, etc.)
o Work with CFO to update all additions/revisions/deletions in both ScheduAll and QuickBooks as needed
• Operations
o Manage Operations team, assigning day-to-day tasks
Non-essential Job Functions
• Maintain list of building-wide organization projects
Requirements
• Intermediate to Advanced knowledge of Post workflow
• Intermediate to Advanced knowledge of ScheduAll
• Microsoft Office proficiency - Intermediate to Advanced
