Job Description:
Personal Assistant/office manager
Ideal candidate would be someone who is very detail oriented and self-motivated with a positive can do attitude. Also needs to be well spoken on the phone as well as via email. Be able to juggle multiple tasks at the same time while being efficient and precise. Knows how to use an apple computer, iphone, ical, Microsoft office.
Duties:
Keeping up to date calendar using ical, sending invites in ical, scheduling calls and meetings
Booking travel: Flights, hotels, car services/domestic and international
Booking personal appointments
Some troubleshooting with iphone, apple computer, wifi at office
Lots of communication via email
Answering phones, rolling calls, keeping up to date phone call sheet, checking voice mails, sending calls
Accepting and sending out large amount of packages and keeping track of orders made
Creating and maintaining artist calendars and promo schedules
Master tour for artists touring and syncing with ical
Microsoft office - making power points, spreadsheets, expense reports/excel and documents
Some personal errands
Keeping all office inventory stocked, ordering when necessary
Maintain presentable and clean office
Making reservations for meetings and appointments
Health insurance forms doctors appointments/insurance
Keeping track of office bills and rent
Quarterly tax information to business manager
Hours 10:30 - 5:30- West Hollywood
