*Job description:
Looking for a personal/administrative assistant to the owner of a music management company. Need to hire someone ASAP! This role requires exceptional attention to detail, excellent organizational and analytical skills, and most importantly, the ability to prioritize and multi-task under extreme pressure in a fast-paced environment. A high degree of integrity and discretion in handling confidential information, and professionalism in dealing with manager's business as well as personal contacts is essential.
Seeking someone who is always ''one step ahead'' and can handle a full slate of projects and maintain organization at all times. Ideal candidates must demonstrate good common sense and forethought, be reliable, trustworthy, and capable of handling high-stress situations in a calm manner. This is a very personal position and you will spend a great deal of time working from the manager's home office.
Qualified candidates should meet the following criteria:
-Possess a ''no task is too small'' attitude and be willing to do whatever is asked of you with a smile
-Excellent time management and multitasking skills
-You will be exposed to A-list talent and high profile clients, so professionalism is a MUST!
-Must be punctual, proactive, reliable, detail-oriented, organized, self-motivated, and resourceful
-Willing to work long hours (this is not a M-F / 9-5 type of job)
-Able to keep track of many ongoing projects with strong attention to detail and excellent follow through
-Must LOVE dogs and be comfortable taking care of them when manager is traveling
-Ability to work independently and prioritize multiple tasks with strict deadlines
-Must be comfortable working with strong personalities and capable of receiving performance feedback
*Responsibilities / job functions:
-Schedule high volumes of calls, meetings, and conference calls between multiple parties in different time zones
-Remind manager of daily schedule and everything that needs to be done ahead of time
-Provide full personal and administrative support to the owner/artist manager - this includes nearly every aspect of his life
-Maintaining and updating manager's personal and travel calendar, as well as occasionally helping with his fiancee's personal schedule, including dr apts etc
-Handling excessive amounts of paperwork (personal and business-related), making sure everything gets submitted on time and to the right people
-Reconcile receipts and prepare/track expense reports
-Overseeing financial statements - going through them on a weekly basis and categorizing expenses accordingly
-Liaise closely with business managers regarding artist managers finances - this is one of the most important parts of the job
-Heavy volume of personal errands for manager, his fiancee, and dogs. This includes grocery shopping and any other requests
-Put together travel itineraries - liaise with travel agents and booking agents, arranging pick ups when necessary
-Answering manager's phone, rolling calls, taking messages, and keeping manager updated on EVERYTHING
-Helping out with ANYTHING that needs to be done around the house (chores, vacuuming, mopping, dishes, picking up dog poop, etc)
-Drop off and pick up managers dry cleaning regularly
-Organize personal arrangements as requested - dinner reservations, activities, etc
-Overseeing projects around the house that need to be taken care of - renovations, deliveries, etc
-Taking care of managers dogs - going to dog park every day, take them to get groomed, to the vet, etc
-Make sure everything is in stock at managers house - this includes dog food/treats as well as groceries, supplements, vitamins, household items (trash bags, dishwasher detergent, etc)
-Update social media
-Add new contact details and any business cards to Managers icloud address book regularly
-Heavy online shopping
-Send daily schedule to manager and rest of team at the end of each day with updates for the following day
*Job requirements:
-At least 1 year experience in music industry strongly preferred
-BA/BS degree required
-Personal assistant experience strongly preferred
-Must have a car and valid drivers license
-Must have own Mac laptop
-Familiarity with social media usage, instagram, twitter, Facebook, soundcloud, etc
-Strong proficiency in MS Word, MS Excel, and Google docs/spreadsheets
-Excellent written, verbal, organizational, and interpersonal communication skills are essential
*Bonus skills:
