Office Production Assistant for a well known Event Production Company
Skills:

Duties:
- Assisting with Budgets
o Updating estimates when quotes are received
o Inputting actuals when final invoices are sent
o Estimating staffing costs, courier costs, travel costs, etc.
o Scheduling requests for deposit payments from clients
o Assist in closing out budgets post event
- Invoicing
o Obtaining quotes from vendors
o Submitting vendor deposit invoices for payment
o Requesting and submitting final vendor invoices
- Preparing Excel documents
o Creating new templates
o Organizing and Updating contact lists, schedules, timelines, etc.
o Creating Deal Memos for talent and free-lance employees
- Preparing PowerPoint documents
o Preparing presentations
o Creating event décor/design packets
- Preparing Expense Reports -- using Concur
o Collecting and organizing all receipts for credit card charges
o Creating reports with descriptions and proper coding
o Submission and tracking of expense payments
- Organizing event materials
o Creating event binders and keeping them up to date
o Ensure delivery of décor items are on time and sent to correct location
o Purchase of décor items
- Answering phones
- Scheduling conference calls and meetings
- Managing calendars
- Arranging FedEx shipments
- Arranging Messenger Services
- Misc. Research
- Arranging Travel
o Booking flights, car services, hotels for multiple people
The schedule for this job is generally Monday thru Friday, 9am- 6pm however some nights/weekends as needed.
