A full service bi-costal commercial production company seeks a sharp, capable, solution-oriented individual for the Office Production Assistant position in our Los Angeles office. This staff position is perfect for someone looking for an entry-level job in the industry, or for someone interested in breaking into the fast-paced world of commercials, advertising, or production.
The Office Production Assistant is responsible for the office's daily flow - answering phones, greeting visitors, maintaining office appearance, etc. In addition, he or she supports the staff with any production and personal needs that may come up. This includes fully supporting the Controller with financial and administrative needs including payables entry and credit card reconciliation in Quickbooks.
We represent prominent directors and are looking for someone who can bring professionalism, personality, and dedication to the table. The position is full time 8:30am-6pm Monday-Friday.
Responsibilities include:
- Answer and screen all calls, greet and direct visitors, handle all incoming/ outgoing mail and packages
- Maintain the master office calendar
- Plan and organize office events, negotiate daily office traffic
- Aid in research by obtaining travel pricing quotes and light general location research
- Assist financial Controller with payables and credit card reconciliation via Quickbooks
- Assist with updating calendars for productions
- Keep office and kitchen supplies stocked and maintain office cleanliness
- Track all jobs in FileMaker, maintain reports
- Run errands for office as needed
- Infrequent but occasional weekend tasks
- Ordering lunches
Requirements include:
- LA area resident
- College degree preferred
- Expert in Microsoft Office programs (Word, Excel)
- Familiarity with Quickbooks preferred
- Mac user preferred, tech savvy a must
- Detail oriented
- Problem solver
- Team player
- Adobe Creative Suite knowledge a plus!
- Ability to be flexible and on call for emergencies
Salary dependent on experience.
