A full service bi-costal commercial production company seeks a sharp, capable, solution-oriented individual for the Office Manager position in the Los Angeles office. This position is perfect for someone looking for an entry-level job in the industry, or for someone interested in commercials, advertising, or production.
The Office Manager is responsible for the office's daily flow - answering phones, greeting visitors, maintaining office appearance, etc. In addition, he or she supports the staff and Executive Producers with any production and personal needs that may come up.
We represent prominent directors and are looking for someone who can bring professionalism, personality, and dedication to the table. The position is full time 8:30 - 6PM M-F.
Responsibilities include:
- Answer and screen all calls, greet and direct visitors, handle all incoming/ outgoing mail and packages
- Personal assistant to owner, including managing calendar, email, travel, and occasional personal tasks.
- Maintain the master office calendar, plan and organize office events
- Facilitate travel arrangements for executives and manage all reward point travel
- Aid in bid research by obtaining travel quotes, general location research, DP checks, etc.
- Keep office and kitchen supplies stocked and maintain office cleanliness
- Track all jobs in FileMaker, maintain reports
- Run errands for office as needed
- Infrequent weekend tasks - ability to be flexible and on call for emergencies.
Requirements include:
- LA resident
- College degree
- Expert in Microsoft Office programs
- Detail oriented
- Problem solver
- Mac user (preferred), fairly tech savvy
- Adobe Suite knowledge (preferred)
