Seeking experienced Office Manager and Deputy to the Managing Director of busy NYC entertainment law firm servicing clients in film, television, music and new media. This position requires you to wear many hats and juggle lots of balls at once. You must be highly resourceful, able to prioritize, and work independently. You will be the right hand of the Managing Director and interface daily across all levels of the firm.
Responsibilities include:
- Oversight of day-to-day office operations
- Revenue tracking; generate monthly reports re: same
- Prepare/track client engagement letters and invoices
- Transactional bookkeeping using QuickBooks
- Technology troubleshooting and communication with tech support vendor
- Maintain local backup systems; manage local e-mail clients
- Manage associate time-tracking software; create monthly reports re: same
- Oversee client conflict checks; prepare conflict waivers
- Assist with recruitment and new hire process
- Implement/manage employee benefit programs
- Maintain confidential personnel records
- Track client disbursements and oversee payments to third-party vendors re: same
- Maintain office supplies
- Order and deploy computers, software, and assorted accessories
- Coordinate firm events
Desired Qualifications:
- 3+ years of experience in similar role
- College graduate with Bachelor's Degree
- Strong organizational skills and attention to detail
- Clear and confident communicator; outstanding ''follow-up'' skills
- Basic tech proficiency for troubleshooting minor tech issues quickly
- Full proficiency with MS Office, Google Calendar/Drive, QuickBooks
- Interested in the entertainment industry, specifically independent film!
