We are a co-production company, backed by one of China's largest media/entertainment conglomerates, dedicated to producing the best in commercial and co-production films. Currently we are seeking an Office Manager/Executive Assistant to CEO. This position requires proficiency in both English and Chinese.
A successful candidate must be self-motivated, proactive, detail-oriented and possess strong verbal & written communication skills and a pleasant demeanor. Strong project management and coordination skills required. Prior experience as assistant to a senior level executive is preferred.
Responsibilities:
Managing office activities including processing payments, ordering supplies, coordinating among several offices in US and China, overseeing office lease and insurance, etc.
Maintaining filing system of legal documents, legal entities and related documents
Handling HR related tasks
Creating corporate and project related PowerPoint decks in both Chinese and English
Handling phones; sending and following emails
Scheduling meetings and conference calls; creating meeting agendas; circulating meeting materials
Taking notes in meetings and conference calls
Booking and confirming travel; managing expense reports; tracking all reimbursement requests
Maintaining up-to-date awareness of the Executive's obligations in order to proactively assist and anticipate needs
Translating
Qualifications:
Must have 3+ years work experience
Business or Accounting related degree is preferred
A no-task-too-small attitude
Proficient in English & Mandarin
Excellent written & verbal communication skills
Ability to read, write, synopsize and research
Strong skills in MS Office (PowerPoint, Excel, Word, Outlook)
Ability to prioritize conflicting needs and multitask
Demonstrated flexibility, information sharing, and anticipating needs is essential
Must be able to work independently with minimal supervision, and meet deadlines
Basic knowledge about the film industry and co-production world
