Job Description: Office Coordinator for Boutique Talent Management Company
Responsibilities:
Provide professional administrative and coordination support to the President and Director of Operations of a comedy talent management company
Complete a variety of tasks for the team, including: managing an extremely active calendar of tour dates, meetings and appointments; arranging complex and detailed travel plans, itineraries and agendas
Plan, coordinate and ensure that schedules are followed and respected. Act in a ''gatekeeper'' role, creating mutually beneficial situations for direct access to our time and offices
Work closely and effectively with the teams to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a ''barometer,'' having a sense for the issues taking place in the environment and keeping the team up to date
Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with immediate deadline pressures
Act as assistant office manager with duties including, but not limited to: checking mail, answering fan mail, keeping track of supplies and helping to ensure the office runs smoothly.
Advance tour dates for select clients on the roster
Take on projects, as directed, reporting to the Director of Operations and President.
Qualifications:
Strong interest in Comedy touring and Artist Management
Excellent phone skills, personable demeanor and able to handle multiple calls at once.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Very strong interpersonal skills and the ability to build relationships with artists, clients and other executives in the industry
Strong written and verbal communication skills
Demonstrates proactive approaches to problem-solving; able to anticipate potential problems and assess how to deal with them before they occur.
Extreme emotional maturity
Highly resourceful with the ability to be effective independently and collaboratively
Actively seeks opportunities and proposes solutions
Accurately and respectfully represents the team in all dealings both internal and external
Education and Experience Requirements:
Bachelor's degree required
Strong work tenure supporting Executives, preferably in the comedy/live entertainment industry
Experience at a talent agency or talent management company is a plus
Experience/interest in the live and scripted comedy industry
Proficient in Microsoft Office, Mac OSX, and social media web platforms
Proficient in Google Drive, creating and managing documents
Proficient in Apple/Mac programs: iCalendar, Contacts, etc.
