Overview - The office Administrative Coordinator/Receptionist requires a highly organized, detail oriented individual with strong administrative and communication skills and the ability to multi-task. This person is responsible for the day-to-day administrative functioning of the office managing daily job duties as described below:
Receptionist - The Receptionist function requires excellent customer service skills. Duties include greeting all visitors with a positive and welcoming demeanor; ensure visitors are promptly connected to the group/individuals they are meeting with; manage the main switchboard/phone lines; requires an understanding of phone etiquette and protocols; answer phones promptly and with a welcoming demeanor, screen calls and transfer to appropriate department; excellent listening skills and good judgment are a must; Receptionist will validate parking for all guests and clients; coordinate with Finance to replenish validations, as needed (ensure supply of validations does not run too low); ensure all incoming mail has been accounted for - sign for packages and notify departments and individuals of deliveries.
Administrative Duties - Provide administrative support to the Chief Creative Officer; update and maintain office calendar by accurately tracking employees' time off requests; ensure that all drives delivered internally or being delivered externally arrive at the appropriate destination; order general office and kitchen supplies; reorder supplies promptly so inventory does not run low; ensure kitchen and supply area is neat and orderly; oversee and coordinate any office repairs/maintenance; oversee daily janitorial maintenance of office so as to always present a professional environment; brew fresh pots of coffee throughout the day; rinse containers every morning; provide back up telephone support to the Executive Assistant to the Co-Presidents; interface with vendors, as needed; coordinate the Annual Building Emergency Evacuation program; take charge of managing fire/safety drills, supervise floor wardens, ensure floor wardens are trained, as appropriate.
Finance Administrative Support - Provide administrative support to the accounting department; assist accounting with filing, organizing credit card receipts, match credit card receipts to supporting documentation, and after productions end ensure wrap folders have the appropriate documentation; assist with other accounting projects as required.
Skills Required:
-Microsoft Office (Word, Outlook, PowerPoint)
-Excel Proficient
-Adept at managing main telephone lines
