Prominent boutique entertainment law firm seeks full-time floater assistant. In addition to filling in for assistants when they are out of the office, the floater will assist the Office Manager and other staff with special projects including filing, scanning, updating database, etc.
Must possess excellent communication and computer skills [PC], sound judgment, loads of common sense and a strong phone manner. Must also be well organized and a fast learner who can multi-task and handle a fast paced environment. Excellent opportunity for the right person. Must have minimum 1 year office or entertainment industry administrative experience.
Duties:
Phones - incoming & outgoing calls - messages - polite & professional phone manner
Letters - basic cover letters for attaching/enclosing contract comments, execution copies, retainer letters and new client forms, etc.
Scheduling - conference calls - lunch meetings/restaurant reservations, etc.
Travel - airline & car reservations - some hotel & some international travel
Gatekeeper - manage inter office communications
Files - digital and paper
Online research - film information - opening dates, box office info, etc.
Organization and attention to detail at very high levels - while multi-tasking. A great memory for details and a thick skin required.
