We are looking for an Executive Assistant who has significant experience in Entertainment Industry and knows what it takes to be efficient and effective.
We are a very busy production company that specializes in music videos and commercials that also has several film and TV projects in various stages of development. We also own a few other businesses in Post Production, Food Service and Artist management. The ideal candidate is someone who THRIVES on overseeing many different projects/tasks and making sure that the #1 priority is putting in 100% and nothing less.
Below are descriptions of the IDEAL CANDIDATE we are looking for:
- Enjoys working in Entertainment Industry and understands the special demands and work hours that comes with a long-term career in this industry
- Very efficient and very organized in managing tasks, calendar, scheduling, etc
- Great verbal and written communication
- Very presentable and professional when dealing with clients, team members, executives, etc.
- Answers emails, texts, phones promptly and avoid missing important / urgent matters
- Must be able to prioritize tasks and meet deadlines accordingly
- Must be always prepared for meetings, conference calls, etc (taking notes, know parking ahead of time, confirm address, confirm attendees, etc)
- Must have a great POSITIVE attitude and must not feel down/upset when being corrected for a mistake or wrongdoing
- Must maintain great relationship with team members, co-workers, clients, executives, etc.
- Detail-oriented and avoid making the same mistakes
- Must be able to juggle several projects simultaneously
- Must be comfortable and enjoys working in a fast paced environment
- Must be eligible to work in the US (US Citizen or Permanent Resident) with valid SSN and Drivers License
- Must be willing to drive CEO's car as needed
- Must own a vehicle and a MACBOOK
- Must be available / accessible after hours as needed
DUTIES include, but not limited to, the following:
- Manage CEO's calendar, schedule appointments, set up conference calls, prepare for meetings, etc
- Help with scheduling artists, crew, and staff as needed
- Help on set during shoots (may require to work long filming hours)
- Answer emails on behalf of CEO and oversee other company emails.
- Set up office first thing in the morning and make sure fridge is stocked, snack jars refilled, trash emptied, candles lit, music is playing, main room is tidy and presentable, etc.
- Make sure CEO's office is ALWAYS tidy and presentable, trash emptied, candles lit, etc
- Assist CFO and Finance Manager as needed
- Assist in other companies (Restaurant, Post Production, Artist Management, etc) as needed
- Answer company phone, connects caller to the right department, and relays messages timely and accordingly
- Read scripts and provide coverage on a timely manner
- Assist in creating presentation decks and other organizational & promotional materials
SKILLS & EXPERIENCE:
- At least 3 years experience as an Executive Assistant (Entertainment Industry, preferred)
- Knowledge & experience working on MAC computers
- Knowledge & experience with programs / softwares / apps such as Pages, Powerpoint, Word, Excel, Photoshop, Illustrator, Adobe, etc.
- Knowledge & experience in reading scripts and coverages
- Knowledge & experience in Film and TV development and production
COMPENSATION:
- $40,000/year on bi-weekly payroll
- Meals and Parking are provided
- Health Insurance up to $200, eligible after 6 months
