A busy author, screenwriter, technologist and consultant is looking for an executive assistant to help with day-to-day workings of a hectic schedule and heavy email inbox. This will be an independent contractor working 30-40 hours per week. The ideal assistant will be based in Los Angeles and can meet in Hollywood, but will frequently work remotely. The author has many moving pieces to his work and business and needs someone who is extremely organized to keep things moving smoothly. Looking for someone who is sharp, detail oriented, proactive, able to work independently, confidentially and ask questions when needed. This is a great role for someone interested in publishing and technology. Have a great sense of humor and roll with the punches. Previous agency and/or management experience is vital. Responsibilities
• Run calendar and act as defender of schedule. You will be doing the full scheduling of meetings, travel, and events. Be familiar with booking online travel, frequent flyer programs and travel systems.
• Maintain day-to-day operations of author's multiple ventures and identify business opportunities
• Monitor all email and phone correspondence for business and personal life management. Draft and edit emails and be able to prioritize incoming business.
• Follow up on outgoing and incoming business requests, meetings, projects and media. This is vital! Have systems in place to keep things up to date.
• Tracking and organization of files, contracts and records.
• Act as point person between publicist, agents and clients for logistical details and scheduling.
• Coordinate and carry out personal projects. Some personal errands required.
• Track and organize all business expenses and receipts - including travel, office and meals.
• Managing projects and conducting research.
• Coordinate with author on social media postings, maintain multiple accounts and plan outgoing postings
• Operate confidentially
Qualifications
• Must be UBER organized and have own systems in place for a full plate of follow-ups, keeping track of multiple moving parts and maintaining a very full schedule. Deep organization skills and attention to detail must be second nature.
• Knowledge of the entertainment industry, publishing and speaker bureaus is a huge plus. Knowledge of sales and building a brand also helpful.
• 1-3 years experience in agency, management or similar field preferred. Previous experience as an executive assistant a big plus.
• Be very good at putting systems in place to manage moving parts for several different projects, business ventures and travel.
• Excellent phone and email skills: Must be extremely professional, knowledgeable, personable and prompt. You will be required to be on the phone on behalf of author and must be able to operate confidently and professionally.
• Accounting and bookkeeping knowledge and savvy is helpful.
• Understanding and knowledge of social media and how to use it effectively.
• Be reachable some nights and weekends if needed.
• Must be punctual, trustworthy and a self-starter.
• MAC experience is a must. Also knowledge of systems like Mac mail, BaseCamp, Excel and other organizational or management web-based tools.
• Be able to learn quickly and hit the ground running. Be a proactive partner.
• Must be able to listen and ask questions when needed.
• Have an interest in technologies and emerging technologies
• Sense of humor required.
Hours: Starting at 30 hours weekly but could lead to more. - Monday through Friday in West Hollywood.
