This position is for the ultimate assistant and gatekeeper who takes pride in their work, is passionate about their contribution to the team and as a representative of that team, is determined to protect the confidentiality and sensitivity of ALL information with the utmost discretion.
This is a position with excellent growth opportunity in a Digital Entertainment Agency, therefore we are seeking a candidate with long-term interest who is committed and focused on their contribution to grow with the agency.
Essential Functions:
This position is intended for an experienced full-time Executive Personal Assistant to directly assist the CEO and her Executive Partner. We are looking for a talented, organized, trustworthy, and reliable individual to manage daily tasks and affairs as it relates to both the Executive Partners' home and office, including but not limited to managing a full executive-business and personal family calendar.
-Assist Executive Partners in all assigned tasks and projects; personal and family affairs, as well as business
-Manage kids' and pets' schedules; coordinating appointments; driving, pick-ups, and drop-offs
-Manage the needs of the office and home; deal with vendors, compile special reports when necessary, and prepare presentation materials
-Assist with administrative tasks including, but not limited to: contact management, scheduling appointments, running errands, taking notes, answering calls, photocopying, and managing priorities
-Arrange travel accommodations; create comprehensive and detailed itineraries
-Conduct all aspects of the job with appropriate level of confidentiality and sensitivity to clients, projects, and agency by not disclosing confidential information except on a need-to-know basis
-Anticipate and manage the Executive Partners' needs and proactively bring together appropriate people and resources to meet those business and personal needs; be a critical thinker and have foresight to always be one-step ahead
-Job responsibilities subject to change and contingent upon Executive Partners' business and personal needs
Requirements:
-Bachelor's degree, preferred
-Bilingual - Spanish/English highly preferred
-Minimum 2 years of prior experience in a high-level administrative position; business and personal
-Must have a working vehicle, valid driver's license and good driving record with no DUI's.
-Strong navigational skills and understanding of driving in Los Angeles
-Demonstrate critical thinking skills to prioritize and leverage the Executive Partners' time, resources, information and communications
-Strong organizational and time management skills; coordinating special projects and initiating collaboration with other key staff on a broad range of tasks; TEAM oriented
-Excellent written and verbal communication skills; as it relates to personal and business matters
-Must be self-motivated and take initiative with decision-making ability
-Exceptional knowledge and experience working with Apple products; MAC, and Microsoft Office
-Working knowledge of Box.com and/or similar sites
-Must love kids + dogs
-Must be ok with schedule: Mon - Fri 10am to 7pm
