Digital production studio seeks an Executive Assistant for the Business and Legal Affairs department. The position is responsible for providing executive-level business, legal and administrative support to the General Counsel of Business and Legal Affairs, Director of Business and Legal Affairs and other legal staff.
What you'll do:
- Performs complex legal and administrative duties, involving contact with and exposure to high-level executives, confidential materials and information.
- Manages and advises on time sensitive tasks including scheduling of appointments, follow-up duties, ensuring deadlines are met and other workflow efficiencies.
- Organizes and prioritizes large volumes of email and phone calls (rolls calls and serves as note taker).
- Drafts coherent and professional emails.
- Makes photocopies and scans of reports, documents and other sensitive materials.
- Seamlessly works with production, marketing, programming, development and leadership departments to provide meeting management support including: arranging catering, transportation, courier pick-ups/drop-offs and booking conference rooms.
- Coordinates complex travel accommodations (both domestic and international).
- Opens, reviews, records, distributes and organizes mail.
- Ensures accurate and timely submission of expenses.
- Codes and processes legal invoices.
- Processes and submits General Counsel's expense reports.
- Responds to inquiries, order department supplies and perform research.
- Greets clients and high-level executives.
What you'll need to have:
- College degree preferred.
- 2-3 years of EA experience required.
- Previous legal or business affairs secretarial experience preferred and/or interest.
- Proficiency with MS Word, Excel and PowerPoint required.
- Typing approximately 55 wpm required.
- Must have knowledge of filing procedures, basic math, spelling, grammar, punctuation, english usage and report/letter formats.
- Knowledge of legal terminology preferred.
- Must have have the ability to communicate effectively and tactfully with persons on all levels, in person, on the telephone and in writing.
- Must have the ability to pay close attention to detail and understand written and oral instructions.
- Must schedule work effectively.
- Must have the ability to handle multiple tasks.
- Must be highly organized.
- Must be able to prioritize assigned tasks.
- Ability to work proactively, independently and reliably under tight time frames in a fast-paced environment.
- Ability to work effectively and collaboratively cross-functionally, think practically and be solution-oriented.
- Willingness to tackle matters outside area of expertise.
