Full Time Job
Independent film production, finance and distribution company seeking a full time executive assistant to provide administrative support to the EVP, Business Affairs & Operations. Must have outstanding organizational, time management, and oral/written communication skills. Sharp attention to details, discretion, and excellent computer skills (including proficiency with MS Word, Outlook and a working knowledge of Excel) required.
Typical duties include:
Answering and fielding phone calls, scheduling conference calls
Setting meetings and generally maintaining the executive's calendar
Creating and maintaining a contract database and follow up system for current and ongoing projects
Interfacing with other departments, executives, producers and other talent, and external attorneys, agents and managers to support the completion of ongoing projects
Facilitating execution of documents
Maintaining physical and electronic filing system for organizing of e-mails, correspondence and agreements
Drafting transmittal letters and emails to outside counsel/studio executives and talent
Preparing and submitting expense reports
Reading agreements to discern relevant compensation information for accounting purposes, credit information for marketing/distribution, and other relevant terms, as requested
Researching guild issues
Preparing deal summaries
Provide general office support such as distributing mail, filing, faxing, photocopying, and ordering supplies
Prefer that candidate has a working knowledge of entertainment industry workflow and standard assistant procedures; as such, 2 - 5 years' experience working as an assistant at a transactional entertainment law firm, agency, or studio legal/business affairs department preferred.
The successful candidate should have a demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly with limited supervision. A cooperative work style, a strong work ethic and a positive attitude, while consistently exercising sound judgment is a must.
BA/BS degree required. Proficient in MS Word and Excel. Must have excellent references.
Location: Playa Vista
M-F 9:00 - 6:00.
