CEO at Beverly Hills Talent Agency seeks an Executive Assistant. Seeking a personable and focused individual who has the ability to work in a fast-paced environment. Candidate must have strong communication skills, including tact and professionalism. Strong written and interpersonal skills, follow-through and client service skills. Excellent phone skills a must. Ability to work well under pressure, anticipate, and prioritize multiple projects in a detail-oriented environment. The position requires a highly skilled individual who can take initiative while learning on the job. Individual must be extremely organized, capable of multi-tasking and have a fairly high stress tolerance.
Requirements & Qualifications:
College degree
Must have prior agency/industry experience/concert touring experience helpful
Ability to keep accurate records/process deal memos/interact with accounting department
Attention to detail, keep calendar/appointments/meetings up to date, coordinate travel
Proven ability to work collaboratively as part of a team
Professional appearance and presentation
Proficient with Oasis, Word, Excel, Breakdown Services
Must be able to work independently with little supervision
Strong work ethic and great attitude/eager to assist with various responsibilities
Daily duties to include:
Schedule and maintain CEO's calendar; arrange meetings, conference calls, lunches
Answer high volume of phone calls
Create and maintain filing system
Process expense reports
Draft letters and correspondence
Review documents and revise upon request
Manage mail and FedEx, including some International
The ideal candidate should possess a skill set ranging from administrative assistant skills, contract administration.
This is an Executive Assistant position, not for those interested in Agent Training Program.
Individual will regularly interact with Clients, Partners, Agents, Executives, Accounting, Human Resources, and Assistants.
Individual must possess a strong work ethic and mature attitude as certain responsibilities involve handling sensitive issues and confidential information requiring discretion on the employee's part.
Advanced computer software skills and experience in: Outlook, Word, Excel, PowerPoint and advanced Internet search/research.
