Boutique-style production company is seeking to hire an Executive Assistant/Office Manager for two executive producers. Working in commercials, new media, and VR, this position will offer the chance to network, develop skills, and gain knowledge of the inner workings of the entertainment and advertising industry.
Responsibilities include but are not limited to:
- Answer phones, emails, and mail; correspond and communicate messages to Executive(s)
- Comfort with troubleshooting basic phone, website, IT issues
- Schedule meetings, prioritize calendar and create travel itineraries
- Greet visitors and clients, set up office for preproduction meetings
- Research
- Input new contacts into internal database
- Organize business travel arrangements to include booking flights, car and hotels
- Provide financial administrative support to the executive team and office accountant by coordinating and filing and reconciliation of office expenses, petty cash, invoices, business documents
- Review and revise documents, contracts, and draft letters
- Any other general administration duties as and when required
Requirements and Qualifications:
- 1 - 3 years work experience
- Strong written and oral communication skills
- Strong assistant, administrative and telephone skills
- Solid organizational skills
- Strong time management and able to multi-task
- Manage day-to-day tasks in a fast-paced environment
- Strong attention to detail while producing accurate and high quality work
- Resourceful, creative-problem solver
- Dependable, reliable, and demonstrate strong work ethic
- Dedication to the job and MUST have positive attitude.
- Strong understanding of social media
- Must be computer literate, good with technology, office equipment, and solving computer problems
- Proficient in Word, Excel, PowerPoint, Filemaker, etc.
- Familiarity with Apple Products including iPhone a plus
- Familiarity with Photoshop a plus
- Polished, professional presence - Must represent self and the company in a highly professional and ethical manner.
- Able to deal with sensitive and confidential information
- Willing to wear many hats and be flexible in different roles
- Must be willing & able to assist executives with personal tasks, on occasion
- Must have a reliable car and driver's license with valid insurance
- MUST CURRENTLY LIVE IN LOS ANGELES
