Summary of Position:
Entertainment and talent division of a global law firm seeking a full time Legal Assistant to provide administrative support to three busy Entertainment Attorneys in the areas of film, television and music. Two of the attorneys are partners and one of them is the Practice Group Leader for the Entertainment and Media Industry Group. Ideal candidate would have superb organizational skills, an eye for detail and demonstrates excellent written and verbal communication skills. Candidate should be able to anticipate the needs of their attorneys, confidently multi-task, and properly prioritize the projects they receive. Driven, self-starters will thrive in this role and being a team player is a must. Excellent computer skills required and strong social media skills a plus. This is a busy desk that works on exciting entertainment projects/deals requiring someone who can multi-task, remain focused, and driven to succeed.
Essential Functions:
• Help manage music deals, television shows, films from both the studio/network and talent sides. Constant interaction with Hollywood representatives', executives', and production companies' offices and personnel.
• Rolling calls, Answering and logging incoming telephone calls utilizing CallPlease, communicate via Lync (instant messaging system). Constant communication with attorneys throughout the day both in and out of the office.
• Drafts and types various kinds of documents, including talent agreements, engagement letters, correspondence, proofreads documents for errors and corrects errors.
• Extensive scheduling and coordinating, both internally & externally, including client meetings, lunches, and conference calls.
• Online research and digital media utilization as part of attorneys' and group's business development and marketing efforts.
• Prepare, document, and amend travel arrangements using the firm's travel agency, as needed.
• Prepare check requests for invoices and process expense reports.
• Review, sort, and distribute mail; reviews and calendars follow-up from documents, letters and other mail received.
• Schedules needed vendors to accomplish the attorney's projects.
• Inputs the attorney's timesheets and client billing into the firm's financial management application; reviews for accuracy and corrects any errors; and releases time by deadlines.
• Maintains accurate and up-to-date databases such as name/address lists, client/matter numbers.
• Open new business matters following established firm procedures.
• Maintain and update client files following local office electronic filing system procedures.
Other Duties and Responsibilities:
• Participates in office secretarial team leader and back-up system for absence coverage.
• Performs other tasks as assigned by the attorneys and/or Business Manager.
• Maintain discretion and strict confidentiality of client and firm matters.
• Able to maintain/foster a positive attitude in a fast-paced, work environment.
• Ability to effectively manage multiple priorities/tasks.
• Makes sound judgment decisions and easily adapts to changing work situations.
• Grasp and apply new ideas and technology tools.
• Must be a team player with a positive, innovative, pro-active personality.
Qualifications:
• College degree required.
• At least 3 years of experience as a Legal Assistant in the Entertainment Industry (including some or all of - scripted/unscripted TV, Features, and Music).
• Work in-house at a studio, production company, label and/or entertainment law firm a plus.
• Must be proficient with Microsoft Office 2010 (Word, Excel, PowerPoint, etc.).
• Self-starter and driven individual.
Physical Demands:
• Heavy computer and phone use, so candidate must be comfortable sitting for long periods.
• Ability to lift/carry a typical banker's box of files (approximately 25 lbs).
Work Environment:
• This position routinely uses standard office equipment such as computers, phones, typewriter, fax machine, etc.
• This position is situated in a typical office setting.
• This position will require overtime on occasion.
Salary:
Dependent On Experience. This is a full time position with benefits (medical, dental, & vision). Position also includes paid vacation and 401(K) options.
