Creative Services company based in Santa Monica is looking for a Client Services Office Manager:
Duties to include but not limited to the following:
• Answer the Office Phones
• Receive and greet clients visiting facility
• Manage kitchen for clients, events and office lunches
• Facilitate food services for catering/lunch and client events
• Prepare and Update the daily calendar for Sales and Operations
• Manage the facility schedule using Outlook, Excel and custom system
• Work Order Processing: Prepare Sales Invoices and Track against
client PO#s
• Liaison with AR/AP accounting department
• Support engineering department with RMA's and Repair Quotes
• Manage shipping and receiving using FedEx, DHL, UPS
• Shipping, international commercial invoices.
• Assist sales in filing of all orders and quotes
• Track and Report office inventory and supplies
• Liaison with building landlord for repairs, pest control, alarm
• Banking/Petty Cash Management
• Various errands around the office will require use of personal car
• End of Day report for office management
Candidate must be familiar with Microsoft Word, Excel, Outlook, Skype.
QuickBooks experience a plus. ADP Payroll experiences a plus.
