ROLE SUMMARY
The Client Services Coordinator Role requires a personality that is warm, inviting and upbeat at all times in order to fit within our creative culture. This person must be comfortable initiating and engaging in off-the-cuff conversation with clients of varying personalities. The person will be reporting to many different levels of management within several divisions, so, people skills is of paramount importance. The client services representative will prepare and present morning and afternoon break-outs (coffee, tea, soda, juice, water, fruits, bagels and pastries), breakfasts, lunches and snacks for our clients, talent and crew. They will order, stock and maintain all facility & food items and are generally responsible for the outward appearance of the facility. In addition, during downtime, the client services representative will prepare paperwork for clients and manage files and various records. As most of our business is conducted in-house, the assistant must be comfortable handling talent requests and retain professionalism and confidentiality with high profile clients and talent.
JOB RESPONSIBILITIES
• Engage each and every guest with first class quality service and make them feel cared for and a priority.
• Create menus, purchase and prepare for break-outs and meals.
• Order and stock Costco, office supplies, food and cleaning supplies.
• General upkeep and cleanliness of facilities including but limited to watering plants, light dish washing & refuse disposal
• Performs light cooking for employees and clients, when required.
• Creates correspondence, reports, schedules, agendas, etc.
• Schedules travel and accommodation arrangements.
• Maintains various files and records.
• Opens, records and distributes incoming mail.
• Answers telephone, screens, logs and places calls.
• Prints/Makes photocopies of reports, documents and other materials; sends and receives e-mail.
• Secures and furnishes information as requested.
• Prepares expense reports.
• Creates and/or updates excel documents as assigned.
• Manages and prepares social media outreach.
• Ensures accuracy of office calendar.
• Fulfills research requests.
• Light accounting including: receipt management, balancing credit card statements, and managing and creating invoices.
• Prepare credit lists for clients and cast lists for SAG-AFGTRA.
• Manage runners between our various facilities and clients.
• Ship documents and packages using UPS.

• General knowledge of food preparation and presentation (not looking for a chef)
• Professional demeanor
• Skill in organizing, prioritizing and coordinating multiple tasks with high priorities
• Capacity to work well under pressure and be flexible in an ever-changing environment
• Must take initiative and work with limited supervision
• Experience with using social media professionally
• Proficiency with Microsoft Office Suite
• Expertise in drafting professional emails
• Ability to properly operate photocopy machines and other office equipment
• Ability to understand written and oral instructions
• Works well under time constraints
• Maintain privacy of clients and talent
• Treat highly sensitive documents with care and confidentiality
• Reliable transportation is a must.
PREFERRED SKILLS
• Previous client services/administrative experience
• Knowledge of audio engineering
• Knowledge of and interest in the video game industry
• Experience creating Microsoft Excel spreadsheets with formulas
• Prior experience in the entertainment industry
• Have an understanding of the SAG-AFTRA union
Salary: $14.00 /hour
