The Role:
We are seeking an Assistant to provide administrative and customer service support for a musical artist. This role will assist in scheduling, touring, data entry and organization of work orders and invoices as well as set up studio ProTools and have high attention to detail.
Responsibilities:
• Answer phone calls in a prompt and friendly fashion. Take explicit messages for all office staff when necessary. Check name pronunciation & spelling (repeat back to client).
• Set up new Client account for studio suites work order. Check past history of bookings.
• Create work orders in Studio Suites for sessions. Review, print and place in engineers mail box.
• Provide targeted outreach to casting directors and producers, acting as a liaison between clients, agents, managers and buyers.
• Track television, film and digital projects on behalf of clients.
• Cover concerts, tours and festivals.
• Prepare invoices, booking reports, contract revisions and payment tracking.
• Create one sheets, pitch materials and decks for music clients.
• Assist with special projects, research and compiling information as needed.
• By weekly review of outstanding invoices.
• Send out weekly reminders to Internal Departments.
• Update personnel & client lists from Studio Suites to Outlook contacts.
• Compile and finalize parking details with Office Coordinator for studio sessions.
• Manage social media and digital image.
Qualifications:
• Bachelor's degree is required
• Relevant experience interfacing with talent at an agency, in casting or management
• Ability to meet tight deadlines; manage multiple projects and prioritize; strong sense of follow through
• Strong command of the ProTools modules and Microsoft Office suite including Outlook, Word, Excel and PowerPoint
• Familiarity with productivity and project management tools
• Excellent attention to detail and strong organizational skills
• Strong interpersonal skills while understanding the importance of maintaining confidentiality
