Prominent full-service talent agency is looking for a candidate to work as an assistant to an executive within the live events division. This position offers great experience in all facets of the department in both sales and event coordination. At least one year in an administrative role within the entertainment industry is a plus.
Responsibilities
This position is responsible for supporting the executive including but not limited to:
-Answering phones and scheduling meetings
-Working with the executive to help in the contracting process
-Following up with contacts
-Sending materials and drafting correspondence
-Marketing initiatives
-Researching events and background information on potential buyers
-Learning the clients, their needs and preferences and communicating those to the buyers
-Identifying problems early on and addressing them proactively
-Creative problem solving for contractual, air travel, ground transportation, and technology issues
-Handling special projects and additional responsibilities as requested
Requirements
Ideal candidate will possess:
-A dedication to excellence and very strong work ethic
-Top notch organizational skills
-Excellent time management skills
-Ability to prioritize and multi-task numerous projects while staying very detail oriented
-Exemplary customer service skills and relationship building skills
-Friendly and personable demeanor
-Outgoing personality
-Experience and high comfort in dealing with people at all levels and of all personality types
-Experience with arranging travel needs
-Ability to communicate efficiently and effectively (must have strong verbal and written skills)
-Ability to learn quickly while on the job
-Ability to work with little supervision
-Ability to make on the spot decisions quickly and correctly
-Ability to stay task focused
-Must be self-motivated
-Strong internet skills, research skills, tracking and crunching numbers and comfortable with new technology
-Excellent phone manner
-Previous event/PR experience is a plus
-4-year degree strongly preferred
