Assistant to TV Producer/Executive
*reports directly to Executive, assisting Executive in multiple capacities: coordinates heavy schedule and travel accommodations, serves as office liaison to multiple representatives and parties, provides general support and assistance.
LOCATION: Located in Greater Los Angeles Area
HOURS: Willingness and Eagerness to work odd and long hours, including weekends and holidays. Will be on call with phone at all hours. Ability to travel.
REQUIRED EXPERIENCE
• At least 3 years experience assisting an agent, manager, publicist or executive in the entertainment industry.
TRAITS
• MUST be extremely organized with the strong ability to multi-task and prioritize.
• MUST be extremely trustworthy with a strong understanding of discretion.
• MUST work well under extreme pressure and have the ability to stay calm when stressed.
• MUST be quick on their feet in an extremely fast-paced environment.
• MUST show concern for the needs and wishes of Executive; invested in company's well-being with the ability to react accordingly.
• Must be self-motivated and proactive.
• Must be outgoing and friendly with the ability to network and pitch.
• Must be a talented problem solver, solution oriented and highly resourceful.
• Must have an aptitude for technology and an eagerness to learn new gadgets and applications.
• Must be responsible with a reliable car.
• Must have a college degree.
• NOTE: must be animal lover
REQUIRED KNOWLEDGE AND SKILLS
• Knowledge of the entertainment news business and it's ever changing nature.
• Awareness and passion for pop culture and celebrity culture.
• Excellent verbal, oral and written communication skills.
• In depth knowledge of Apple products and applications (iPhone, iPad, iPod, Macbook, etc.)
• In depth knowledge of Google applications (gmail, google cal, etc.)
• Highly proficient in Microsoft Office applications (Word, Excel, Powerpoint, etc.)
• Knowledge of TV and film production.
• Savvy with Social Media (Twitter, Facebook, Instagram, Youtube, etc.)
JOB DUTIES INCLUDE BUT NOT LIMITED TO
• Conserves executive's time by reading, researching, and routing correspondence; drafts emails and letters; collects and analyzes all incoming information.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences calls, and appointments.
• Coordinates all travel logistics, including flights, car service, hotel accommodations, etc.
• Protects operations by keeping all information highly confidential.
• Works directly with publicists and agents to assist in coordinating logistics of all press and red carpet appearances, charity events, and guest TV appearances.
• Coordinates fittings for all events and appearances.
• Maintains and updates daily To Dos, providing progress reports of completed work.
• Interfaces with Executive's publicists, lawyers and agents; scheduling and coordinating as required.
• Provides historical reference by developing and utilizing filing and retrieval systems (ie. Dropbox).
• Maintains office supplies inventory for both workplace and home office, placing and expediting orders for supplies; verifies receipt of supplies.
• Coordinates all charity events, parties, and fundraising events Executive may host or participate in.
• Reviews and prints all incoming scripts and creative material.
• Maintains and archives all press (both print and online).
• Keeps organized Executive's home office systems.
• Assists Executive with any home errands that need to be accomplished.
• Responsible for sending out all birthday and holiday gifts and thank you notes to Executive's contacts.
• Responsible for keeping up with all new technology and fixing/maintaining all of the Executive's devices.
• Contributes to team effort by accomplishing related results as needed.
