Administrative Manager
Job Description:
A full-time hybrid position between Accounting, Administrative duties, and Executive Assistant tasks for a small, boutique, Worldwide Entertainment Company which specializes in Film and Music.
Hours: 8:30AM - 6:00PM, plus overtime hours may be required, with 1 hour off for lunch. Flexibility, however, is a must, given the needs for the company on a day-to-day basis. Sometimes works events off site.
The weekly schedule will loosely dedicate two days to Accounting and three days to Administrative tasks.
Job Requirements:
Position will pay $72K to $75K, depending on experience.
- BA in business/accounting
- Very strong analytical and problem solving skills required
- Must be well versed with both Mac and PC
- Must be able to pick up on new software and apps quickly
- Minimum of 80 words/minute Typing Speed - This will be tested. Ideal is 100 words/minute.
- Social Media Knowledge on platforms like Facebook, Twitter, Instagram, etc.
- Intermediate Skills in: Microsoft Word and Microsoft Excel
- Intermediate to expert skills using accounting systems (ex. Quickbooks)
- Good knowledge of key accounting concepts such as revenue, cash, expenses, asset and liabilities
- Excellent written and verbal communication skills
- Good organizational skills
- Quick Multi-tasker
- Familiar with Cloud based file management system.
- Previous Assistant/Administration experience preferred
- Knowledgeable on the film and music industries and current trends
- A passion for Films and Music.
- Open-minded.
- Must be adaptable.
Job Responsibilities:
Assist the CEO of the company with tasks such as:
- Invoice all customers and track, reconcile and collect on all accounts receivable
- Manage the royalty revenue collection process including: invoicing, cash collection, revenue recognition, accruals and posting to the general ledger
- Review bad debt monthly and recommend allowances for bad debt
- Ensure that all future receivables are recorded at present value and post any necessary entries to the general ledger
- Generate P&L sheets, cash flow reports, balance sheets and projection reports with the CEO.
- Schedule appointments
- Meet with producers and other business associates
- Track ongoing tasks using detailed lists
- Modify existing boiler-plate contract proposals as well as redlines
- Mail Misc. Correspondences via USPS, FedEx
- Minimal website administration
- Research upcoming Music Festivals and trending performers
- Generate reports for the CEO.
- Create and Update Spreadsheets
- HEAVY EMAIL DICTATION AND ORGANIZATION!! (Must be organized and familiar with GoDaddy/Outlook/iCloud)
- General Administrative Tasks
- Maintain confidential business and personal information
- Must be organized and remain one step ahead of the CEO!
