ASSISTANT JOB DESCRIPTION
We are an Emmy winning Post-Production and Creative Services Company seeking a
a creative and enthusiastic team player that is professional, discreet and innovative.
Position reports to Director of Operations and Human Resources.
Duties
• Perform a wide variety of administrative services including reception; screening and routing phone calls, handling general requests for information as appropriate; sorting and coordinating incoming and outgoing mail and packages, ordering, storing and distributing office supplies, order catering, researching and booking travel.
• Screen visitors, maintain visitor sign-in sheet, advise visitors regarding parking, answer routine questions, and furnish information. Use judgment to handle inquiries from vendors, candidates, employees, and to resolve concerns/issues as necessary. Handle confidential information with discretion.
• Any additional general front desk/reception duties.
• Overall office maintenance including kitchen, reception and outdoor upkeep.
• Manage parking lot and immediately resolve parking issues.
• Assist the CEO: answer phones, maintain phone sheet and calendar where applicable, scheduling, book travel, expense reports.
• Provide operational support: update internal operation files and documents, coordinate meetings, provide follow-ups, resolve operational issues, coordinate staff meetings.
• Provide Human Resources support when needed - provide input in job recruitment, create and file personnel paperwork, coordinate interviews.
• 2nd assistant support for President of the company when needed.
• Manage conference room calendar, requests for booking and conference room upkeep.
• Conduct research on an as needed basis for various projects.
• Work creatively to improve overall office information flow and processes.
• Update and manage relevant files and receipts on Dropbox.
• Anticipate needs of company and senior staff.
• Prepare relevant materials for meetings.
• Take notes in meetings when requested and follow-up on relevant items.
• Schedule and confirm team lunches and order catering.
• Assist in team even planning. Schedule and confirm office celebrations, birthdays, etc and pickup relevant supplies.
• Coordinate holiday gift giving.
• Any and all other duties as assigned by management.
Requirements:
• Strong organizational skills. Excellent communication and presentation skills, verbal and written.
• Self-starter, able to make recommendations and execute tasks with minimal direction.
• Excellent decision making capabilities.
• Candidate must be willing to assist organization in various tasks.
• Ability to multitask, be flexible, and work in a fast-paced environment.
• Proficient in Mac and Microsoft applications, Office (Word and Excel).
• Punctual, regular, and consistent attendance.
• Excellent attention to detail and follow-through skills.
• Pleasant front desk manner.
• Familiar with the entertainment industry.
• Customer Service experience a plus.
