An exciting boutique marketing company executing promotions for major record companies, book publishers, film and television studios, and gaming companies, is seeking a talented individual to join our team as an Administrative Assistant. This is an excellent position for an experienced and confident professional with a proven ability to contribute to the operations of an organization.
The ideal candidate is a seasoned professional who has experience interacting with and handling the needs of a senior executive or head of a company. You have the ability to prioritize assignments, work under limited supervision, and take the initiative when necessary. You exercise good judgment and have the ability to adjust and change priorities as needed. You review documents with a fine-toothed comb and proofread effectively and efficiently. You are responsible, organized, and able to maintain a positive, professional demeanor in fast-paced situations. You have a professional phone and written correspondence presence, the ability to work with all types of people, and represent the executive in a professional manner. You thrive in a close-knit office culture.
Key Responsibilities:
- Provide administrative support to a busy executive
- Draft, edit, and proofread 100 percent of executive's correspondence
- Oversee executive's calendar and schedule, including arranging client and team meetings
- Research and assist in travel arrangements
- Maintain contact list
- Communicate with clients and potential clients via email and phone
- Update computer files/documents as necessary
- Create new computer files/documents as necessary
- Create simple Excel spreadsheets
- Maintain list of and secure attendance for staff via online and/or email registration to industry trade shows
- Compose and copy-edit documents as needed, including proposals, meeting agendas, newsletters, annual mailers, and company website components
- Research various topics via Internet and report on findings - Handle special projects as assigned
Qualifications:
- 3-5 years of high-level administrative experience, including experience supporting a senior executive
- Superior written and verbal communication skills
- Excellent organizational and general office skills
- Mastery of and proven proficiency with all Microsoft Products -- Outlook, Word, Excel, PowerPoint
- Experience in sales, marketing, public relations, or entertainment is a plus and highly valued
- 60 words per minute typing speed a plus
