Prominent talent agency is currently seeking an Administrative Assistant to support the Corporate/M&A Legal Department in the New York office. The Administrative Assistant will be responsible for providing daily office support for the department (consisting of 3-6 lawyers) as well as handling client requests on a day-to-day basis. The ideal candidate must be detail-oriented and able to work in a fast paced, high pressure environment with varying deadlines.
Essential Functions:
• Administrative duties (expense management; coordinate calls and meetings with senior management; organize travel and itineraries)
• Interact with senior lawyers and senior management on a daily basis
• Assist in tracking and updating legal invoices
• Fielding calls and taking complete and accurate messages for executives
• Organize and maintain files
• Prepare materials for meetings, e.g., Audit Committee
• Assist with the administration of the Company's contract management system
• Prepare organizational structure charts
• Assist with domestic corporate filings, coordinate certification of documents
• Other duties as assigned
Knowledge, Skills and Abilities
• Bachelor's Degree required
• Administrative experience supporting an executive strongly preferred
• Exceptional oral and written communications required
• Exceptional organizational skills required
• Exceptional grammar and proofreading skills required
• Detail to sensitivity and proactive
• Ability to work with all levels of employees
• Proficiency in MS Word, Excel and PowerPoint
• Internet research savvy
• Detail oriented and proactive; problem-solving skills a must
• Ability to handle multiple assignments and deadlines with accuracy
• Flexibility and adaptability as new responsibilities are assigned
