Executive Assistant, A&R

This position reports to the Chief Creative Officer.
The primary purpose of this position is to organize and prioritize the time, tasks, and tools of the Chief Creative Officer and participating in the department operation when possible.

Duties will consist of, but are not limited to; representing the CCO to any and all internal and external personnel, serving as first point of contact; retaining at all times knowledge of the demands on the CCO so as to help the position function effectively and on schedule.

Key duties include; performing general office administration, including, but not necessarily limited to, answering phones, originating or otherwise producing all forms of written correspondence, copying, faxing, filing, handling email and postal mail; working with Finance Department as to the status of check requests, wire requests and invoice payments; organizing demo submissions; maintaining executive’s calendar; keeping executive informed of upcoming appointments and obligations; reschedules appointments when necessary; keeping records and documents of executive’s expenses and submit for payment; proactively moving work forward as much as possible in order to ensure time can be made available for fire-fighting without compromising quality or scheduling of everyday work; assisting with company and A&R events.

Qualified candidates for this position must have; outstanding organizational skills; attention to detail; complete knowledge of MS Office software (Excel, Word, Outlook); ability to handle and discuss financial matters; excellent follow through skills; ability to multitask and prioritize; handle confidential matters; own a car and have valid California driver’s license; strong oral and written communication skills; problem-solving abilities for office situations; ability to work well within a team; must demonstrate good judgment.
