JOB RESPONSIBILITIES:
• Providing administrative and clerical support for two (2) attorneys and one (1) contract manager including:
• answering and screening phone calls;
• scheduling and coordinating conference calls and meetings;
• internal document distribution of legal documents and correspondence;
• organizing and maintaining filing system;
• creating departmental reports;
• faxing, copying, and scanning;
• executing expense reports, supply requisitions, etc.;
• opening and distributing mail;
• coordinating messengers/package delivery; and
• booking travel arrangements/reservations.
• Word processing of legal documents (including redlining legal agreements, composing cover letters, and proof reading). Interacting with Company and third party business contacts, including Company executives, employees, agents at major agencies, lawyers and managers.
• Managing contracts and other related administrative work, including creating, updating and managing departmental reports and binders.
• Additional duties as assigned by supervisors.
QUALIFICATIONS AND EXPERIENCE REQUIRED: Two years of administrative assistant experience in a Business & Legal department. Strong computer skills required: typing skills of 50 wpm; PC experience (proficiency in MSWord, Excel, PowerPoint). Good redlining skills, composition skills, status report maintenance skills a must, plus strong grammar and organizational skills. Excellent communication and follow-up skills required. Must be a self-starter with the ability to organize and establish administrative procedures independently. Must have excellent multi-tasking abilities. Good work ethic, commitment to detail and professionalism. Ability to handle confidential information a must.
