Cineflix is currently looking for a Materials Traffic Coordinator in our Toronto office. This is a full time position.
Description
Responsible for the fulfilment of all contractual delivery requirements for sales made by the Cineflix Rights sales team as well as managing the process for materials in relation to programming acquired from 3rd party producers. This involves liaising with worldwide and domestic clients, the external supplier and the post production departments.
In addition to working with the post production team, the candidate will also work closely with the Cineflix Rights team across Sales, Contracts and Finance. A key part of the role is to ensure the most cost effective approach to materials delivery and contractual requirements are met.
Responsibilities
Materials Received:
• Ensures Third Party materials meet contractual requirements (broadcast material and all deliverables) including liaising with supplier and producers to resolve any issues
• Ensures the publicity portal is updated with all 3rd Party and in house materials
• Updates Rights Management database as materials received are added to supplier inventory
• Maintains and updates the deliverables tech spec as required
Materials Delivery:
• Ensures all agreed delivery terms in the contracts are met in a timely manner.
• Responsible for organising delivery of all broadcast tapes and digital files using external supplier ensuring the most cost effective approach is taken.
• Responsible for the delivery of publicity and support materials for all sales contracts.
• Resolves any delivery related issue that arises from any client in the assigned sales executive's territories including but not limited to, missing materials, technical rejections, and small project requests - putting the client in touch with supplier to resolve as necessary.
• Updates Rights Management database as deliveries are fulfilled.
• Management of screener creation process includes ensuring supplier creates digital file in timely manner and CR receives necessary elements to create DVD screeners
• Manage in house Inventory with a view to use or cull.
Materials Cost management:
• Works with sales executives to determine costs of materials via a Materials Calculator in order to facilitate deal negotiation
• Works with Sales Coordinator to ensures that on loan tapes are managed for sales negotiations - liaising directly with supplier to reserve tapes until deal is confirmed.
• Manages retrieval of on loan tapes and keeps the database updated
• Facilitates provision of Foreign Language versions and works with Sales Coordinator to manage language versions.
• Manage the supplier invoicing to match the PO.
Other Key Duties:
• Raises PO's for all work undertaken by supplier and ensures PO's match invoices. Liaises with finance team as required.
• Assess tech specs for 3rd Party acquisitions and makes recommendations as required to Cineflix Rights team
• Produce and review Cineflix Rights Tech Spec document, updating it when required.
• Key liaison for supplier of materials
• Attends weekly team meeting with Rights Division.
• Manage incoming Acquisition volume deals, sorting and categorizing material for sales.
Skills and Qualifications
• Anticipates change and effectively manages the implementation of new ideas.
• A broad understanding of post production workflows and equipment
• Communicates effectively with employees to identify needs and evaluate alternative business solutions.
• Possesses solid project management skills and has the ability to work with a team, soliciting input from all levels of the organization.
• Experience with client communication
• Advanced decision-making and problem solving skills.
• Business acumen, knowledge and professionalism.
• Experienced in using databases and systems, especially File Maker Pro, Excel and Word.
