Terms of Employment: Full-time, salaried, and exempt position
OVERVIEW
The Center for Asian American Media (CAAM) is a national organization dedicated to presenting stories that convey the richness and diversity of Asian American experiences to the broadest audience possible. CAAM seeks a highly motivated professional to assist us in our mission. This position reports to the Director of Finance and Administration.
The ideal candidate has experience in either non-profit or media production accounting and/or management, is a clear communicator, and has a commitment to Asian American communities or the arts field.
KEY FINANCE RESPONSIBILITIES
• Follow GAAP and nonprofit accounting procedures and internal controls
• Conduct day-to-day general accounting entry including Bank Deposits, General Ledger, Accounts Receivable, and Accounts Payable
• Assist with payroll data collection, entry and filing
• Assist with accounts reconciliation
• Assist in assembly and presentation of financial and Human Resources information
• Assist in completion of financial reports for grant applications and reports
• Assist with annual audit
• Process media sales orders
• Maintain administrative paper and data filing system
• Ensure safekeeping and maintenance of record systems in accordance with generally accepted accounting and auditing standards
• Assist in negotiation and review of contracts with vendors, consultants, and other organizations to ensure reasonable rates and commitments
• Develop, maintain, and revise chart of accounts as needed
• Assist Director of Finance and Administration on financial planning and budgeting
• Work with department directors on budgeting and expense analysis
KEY ADMINISTRATIVE RESPONSIBILITIES
• Supervise Admin and Finance Interns
• Assist in onboarding, evaluation and exit procedures for all employees
• Maintain administrative databases, including inputting & updating entries and assisting with data import from other sources
• Provide general administrative support to the organization, working closely with other departments to determine areas of most need
• Manage CAAM Wiki online office handbook and instructions
• Conduct office orientations for new staff and interns
• Maintain internship procedures
• Work with Director of Finance and Administration to write and edit communications
• Assist in posting job openings and recruitment
• Other duties as needed
QUALIFICATIONS
• Bachelor's degree or equivalent experience
• Minimum of two years of bookkeeping or non-profit management experience
• Moderate to advanced knowledge of QuickBooks (or other accounting software) and MS Excel
• FileMakerPro or other database experience helpful
• Media production experience helpful
• MS Word, Outlook, Google Docs
• Knowledge of accounting procedures and practices
• Highly organized, strict attention to detail, and exemplary work standards
• Ability to prioritize and work with multiple deadlines
• Ability to exercise good judgment, take initiative, work in a team, and maintain confidentiality of information
