POSITION TITLE: Artist and Entertainment Relations Specialist
REPORTING RELATIONSHIPS
REPORTS TO: Director of Development, Artist and Entertainment Relations
WORK SCHEDULE: Full-time
STATUS: Non-exempt with full benefits package

POSITION SUMMARY
As part of the Institutional Advancement Department, the Artist and Entertainment Relations Specialist will be the main support for Center Theatre Group's Entertainment Initiative and will assist in growing individual and corporate participation from the entertainment industry. This new initiative will help CTG become recognized as an integral part of the entertainment industry. Other key functions include serving as a liaison for artists and executives from the entertainment industry, assisting with Opening Night events, conducting research and providing administrative support.
PRIMARY RESPONSIBILITIES
1. Provides support to the Director of Development, Artist and Entertainment Relations by helping to establish and maintain relationships with managers, publicists, agents and assistants.
2. Works with the Special Events team to coordinate celebrity attendance at Opening Nights, the 50th Anniversary Celebration, and other Center Theatre Group events.
3. Coordinates recognition and fulfills benefits for the Entertainment Circle.
4. Manages communications for a high-level entertainment think tank including scheduling meetings, providing solicitation materials and invitations to special events.
5. Assists in providing benefits for talent appearing on Center Theatre Group stages.
6. Conducts research to support cultivation of new prospects and identifies opportunities for ongoing engagement.
7. Maintains an active database of celebrity, entertainment and media contacts. Implements a system to track involvement and areas of interest.
8. Works collaboratively across all departments to respond to talent and celebrity needs as they relate to identifying spokespeople, media opportunities, and special event attendance.
9. Provides administrative support as needed including coordinating printing and graphic needs, managing event RSVPs, ticket processing, and entering donations.
SECONDARY RESPONSIBILITIES
1. Ensures that all printed materials are well-written and proofed including but not limited to letters, proposals, invites, mailing lists, reports.
2. Evidence good work habits including but not limited to timeliness in all work aspects, following CTG workplace policies, arriving prepared for meetings and events, being responsive and following through on all donor, supervisor and staff requests.
3. Exhibits appropriate phone, email and in-person etiquette, and responds to phone and email messages in a timely fashion.
4. Exhibits a positive attitude in relation with donors and fellow staff.
5. Works as a team member with the entire Development staff on all department events and activities, working a minimum of 12 events each year.
6. Other duties as assigned.
QUALIFICATIONS
A. Knowledge and essential skills
1. Must have 2-3 years of related experience, ideally from working in entertainment industry.
2. Experience working in a non-profit organization, preferably theatre, is desired.
3. Outstanding interpersonal, organizational and communication skills.
4. Must be able to easily travel to, within and around a variety of locations, both interior and exterior for meetings, events and other job-related activities. Must also be able to work evenings and weekends as needed.
5. Must be able to effectively and efficiently operate office equipment including telephones, copiers, fax machines, computers, etc.
6. Must be able to lift and carry 20 pounds (i.e. reports, programs, brochures, etc.).
7. Must have own transportation to attend meetings and events off site.
B. Education, experience and licensing
1. Bachelor's degree from an accredited university is desirable.
2. Working knowledge of computers and software including but not limited to: Microsoft Word, Excel, electronic calendaring, email and databases.
3. Database (Tessitura) experience desirable.
