The Receptionist is the very first point of contact for the client when connecting with Cast & Crew and as such must at all times present an attitude of friendliness, helpfulness, and professionalism. The very first job is client confidence and this job brings a voice to that. This job is one of that requires flexibility as it wears many hats. From answering phones, ordering supplies, recording storage boxes, this job is the heart of the office.
Essential Functions
• Answering the phones for the office routing calls as necessary, and taking messages when team members are away from their desks.
• Accountable and responsible for quality service in assisting the other office team members and clients as necessary.
• Maintains office, payroll and kitchen supplies and restocking supply room.
• Proficient in the office phone system and usage.
• Maintains Iron Mountain storage box log. Schedules pickup & deliveries of boxes
• Assists Payroll Coordinators & Supervisor-Payroll Operations with W-2 & Stop Payment requests.
• Helps maintain the client relationship in recognizing each client and being familiar with that client's show.
• Assists the Payroll Coordinators in entering employee starts and verifying I9 forms.
• Maintains the Adjustment basket on a weekly basis.
• Maintains I9 form master file.
• Performs other related duties and assignments as assigned.
• Schedules pick up of paper shredding bins and maintains certificate of shredding documents.
Requirements
• Four year college degree good, but Industry or related experience preferred.
• Excellent oral and written communication ability.
• Ability to work towards team and individual goals.
• Must exhibit sense of urgency with regard to client servicing.
• Excellent time management skills.
• Excellent PC skills.
• Flexibility to shift priorities as needed to service the team's clients.
• Understanding of and commitment to maintaining current knowledge of industry trends, concepts, products, practices and financial arrangements.
• Self-motivated, must be able to work independently, goal oriented and people oriented.
• Must have a minimum of 2-5 years' experience.
• Schedule must be flexible to accommodate workload and client needs.
