Position Overview:
Reporting to the SVP, Sales & Marketing, this role assists in the implementation of tactical and strategic plans for Sales and Marketing. Support the day-to-day running of the office. Interpret and review all documents submitted by the Sales & Marketing Department. Ensure that all management team responsibilities are completed in a timely manner such as expense reports, and action items. Knowledge of the industry is desirable.
Essential Functions:
• Answers SVP's multiline phone
• Coordinate project-based work
• Coordinate meetings including reserving meeting rooms, accumulating materials, confirming attendees
• Manage and maintain executive's schedules, appointments and travel arrangements
• Conduct research, assemble and analyze data to prepare reports and documents
• Record, transcribe and distribute minutes of meetings, when needed
• Monitor, respond to and distribute incoming communications with appropriate follow-up and prioritization as to importance
• Assist Sales & Marketing Department Managers in all branch offices, as needed
• Follow up on all strategic action plans on a monthly basis
• Review operating practices and implement improvements where necessary
• Review submitted documents for completion
• Monthly departmental newsletter composition
• Track expenses and assist in timely expense report submissions for SVP, Sales & Marketing
• Track Sales & Marketing special events, sending departmental emails, as needed
• Create and maintain electronic filing system
• Assist with Excel based reports, as assigned
• Support the client satisfaction process
• Work and interact with clients, as needed
• Complete special projects and other responsibilities as assigned by the SVP, Sales & Marketing
Requirements:
• Four year college degree preferred
• At least 5 to 7 years of experience as executive, administrative or sales assistant
• Knowledge of standard office procedures and practices
• Strong knowledge of computer applications including Microsoft Excel, Word, Outlook, PowerPoint, WebEx
• Excellent written and oral communication skills including the ability to compose clear and concise grammatically correct letters, memos, proposals, etc.
• World class customer service skills
• Must have excellent time management skills with the ability to prioritize key tasks
• Self-motivated, must be able to work independently
• Goal oriented and people oriented.
• Ability to multi task and prioritize to meet deadlines
• Excellent organizational skills with attention to detail
• Good follow-through skills
• Ability to maintain positive attitude
• Cooperate and willing to assist other staff
• Schedule must be flexible to accommodate workload and internal / external client needs
