Transportation Coordinator Job Description
This position is responsible for coordinating and supervising all transportation functions relating to guest movement to/from and within our events.
Areas of responsibilities include:
Working with the Project Managers to devise a comprehensive transportation plan for each relevant event, which will include staffing, signage, routing, sourcing of appropriate transportation, appropriate permits based on local regulations, and more.
Communicate our transportation needs with a variety of transportation providers, presenting options to CID Project Manager, and assisting in the selection of the best transportation provider based on multiple factors.
• Direct and supervise the scheduling of all of CID’s transportation; interface with operations team to ensure the most efficient and user friendly scheduling and routing.
• Maintain a very positive relationship with many providers of transportation worldwide to ensure the best service and pricing is available to CID at all times.
• Stay abreast of all new technology and hardware that is developed for the purpose of improving transportation and logistics.
• Develop internal system to effectively rate shuttle programs that CID offers using precise metrics, customer surveys, event specific data, and financial information.
• Develop and implement a proactive process to insure all elements involved in CID’s transportation initiatives are delivered in a timely manner by our transportation vendors;
• Provide track and trace information to the Project Managers and CID management staff in a timely and precise manner
• Develop and maintain a well trained, knowledgeable, and readily available staff throughout CID’s most relevant markets based on CID’s history.
• Develop and maintain a training manual/policies and procedures for all of CID’s per event shuttle staff
• Develop and maintain a training manual/polices and procedures for all drivers within CID’s events.
• Prepare billings and process payments of shuttle bills; establish a financial audit for shuttle operations to determine its cost-effectiveness
• Support business development sales and marketing efforts as needed, to include in potential client presentations, sometimes presenting this information yourself in front of a group of people.
• Effectively communicate with associates, customers, and transportation providers in person, via email, or via phone to accomplish necessary objectives
• Insure compliance to all regulatory issues within scope of service
Requirements for the position are as follows:
Experience planning and executing large scale shuttle operations
Impeccable references
Project management experience
Site and Venue operations experience
Overall operations experience
Excellent organizational and time management skills
Excellent written and oral communication skills
Ability to juggle multiple tasks with strong attention to detail
Ability to exercise creativity and take initiative
Ability to work under pressure in a fast-paced environment
Highly motivated, self-starter who can handle large tasks without much day-to-day management
Must possess strong computer skills (Word PowerPoint, Excel, Adobe Acrobat) |
