Broadway In Boston, a part of the Broadway Across America network and Boston's leading theatrical presenter and producer of Broadway since 1984, is seeking a highly motivated, customer service oriented Operations Assistant. Broadway In Boston is the exclusive presenter of touring Broadway shows at the Boston Opera House and the Citi Emerson Colonial Theatre, and the owner/operator of The Charles Playhouse, home to the comedy whodunit Shear Madness and the long-running smash hit Blue Man Group.
Candidates for this position will have at least 1 year experience in a professional office or theatre environment and must be extremely customer service oriented. A 4-year degree in Arts Administration or Management is preferred but not required.
DUTIES AND RESPONSIBILITIES
- Answer all incoming telephone calls and maintain the automated attendant system;
- Provide direct administrative support to the General Manager and President;
- Liaise with the New York and Louisville phone rooms to communicate proper policies and procedures for Boston customers;
- Work closely with the Ticketing and Marketing Departments to provide operational support for various initiatives;
- Create the in-house Subscriber Concierge schedule for performance weeks;
- Address and resolve customer concerns and complaints, as necessary, in conjunction with the General Manager;
- Help coordinate opening nights, ticket lotteries, and the annual Season Announcement event.
- Complete the weekly calendars for operations and the conference room;
- Order office and kitchen supplies;
- Submit all invoices to General Manager for approval and Accounts Payable for payment and other finance support;
- File and track all invoices for both the Boston office and the Charles Playhouse;
- Maintain the office and kitchen in an organized and clean manner;
- Liaise with Opera House, Colonial Theatre, and Charles Playhouse house management;
- Administrate the donation program;
- Complete expense reports for the General Manager and President;
- Maintain email and phone correspondence with multiple patrons, colleagues, and partnering venues simultaneously.
- Open, sort, and distribute all incoming mail and faxes;
- Assign daily tasks to the Operations Intern, as necessary;
- Perform other duties as assigned by the General Manager.
REQUIRED QUALIFICATIONS
- Bachelor's degree or equivalent experience.
- Demonstrated written and oral communication skills
- Demonstrated ability to work independently and as a team.
- Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
- Knowledge of general office machines and telephone system.
- Sensitivity to the needs of persons with disabilities.
- Ability and willingness to work cooperatively with others.
- High degree of discretion dealing with confidential information.
- Ability and willingness to work some early mornings, evenings and weekends.
