ASSOCIATE BOX OFFICE MANAGER
Broadway In Boston is seeking a motivated, detail oriented team player to help lead our busy box office. Candidate must be enthusiastic about taking initiative, working laterally with multiple departments, providing excellent customer service, and be able to thrive in a hectic team environment. Strong interpersonal, communication and organizational skills are a must. Candidate must be able to work independently, prioritize and multi-task while on a deadline. Strong ticketing, accounting/finance, managerial skills and experience are required. Excel and TicketMaster experience preferred!
The Associate Box Office Manager is responsible for working alongside the senior box office manager in the management and maintenance of box office operations, functionality, accountability, and customer relations. Primary responsibilities include:
Provide leadership and direction for the box office staff under the direction of the Senior Box Office Manager (''SBOM'').
Ensure that Blue Man Group and Broadway In Boston values and vision are understood and supported in the department.
Maintain all ticketing operations.
Ensure that all box office reports, wraps, box office statements, and other reports as needed are executed in a timely and accurate manner in accordance with the direction provided by the SBOM.
Monitor all performances to ensure correct pricing, dates, times, and other pertinent information.
Maintain all ticketing processes to maximize efficiency and ensure audit compliance and accountability.
Monitor and maintain all ticketing processes and activities including, but not limited to, window sales, phone orders, group sales, gift certificates, hotel concierges, and third party partners.
Serve as main contact for third-party ticket sellers as delegated by the SBOM.
Ensure the fulfillment of house seats, comps, and trade requests.
Monitor the advance and consult with the SBOM to make suggestions regarding papering and closing sections.
Maintain box office fiscal accountability and audit procedures.
Maintain and manage all box office accounting, including daily operator reconciliations, end of day balancing, and cash deposits.
Manage all end of month billing and reconciliation with third-party ticket sellers.
Ensure the distribution of accurate daily wrap reports, box office statements, and weekly sales reports.
Ensure that no box office personnel:
knowingly engages in obtaining tickets for a ticket agency, broker, scalper, or their agents;
Knowingly discloses confidential information with respect to availability or release of ticket from hold status to any ticket agency, broker, scalper, or their agents;
Solicits or accepts any cash or other payment, or any form of remuneration or consideration, in exchange for the sale of tickets
Supervise box office personnel.
Create and manage the weekly work schedule, ensuring that schedules are posted well in advance to notify employees of their shifts.
Manage the box office work environment and morale, working with the SBOM to identify any needs for conflict resolution.
Assist in the on-boarding, training, and evaluation of box office personnel.
Manage the box office work environment to ensure employee morale and provide conflict resolution, as needed.
Promote positive and open communication between the box office staff, BMP staff, BIB staff, and the public.
Manage box office customer relations.
Monitor box office staff to provide a first-class customer experience that aligns with the Blue Man experience.
Consult with SBOM to maintain the highest standards of customer service.
Act as the primary contact for hotel concierges and fulfill concierge ticket requests.
Identify and troubleshoot customer service issues to provide the fastest and most positive resolution for the customer.
Participate in department head and full organization meetings.
Execute other duties as assigned by Senior Box Office Manager.
SKILLS AND QUALIFICATIONS
The Associate Box Office Manager provides direct support to the Senior Box Office Manager through the management and maintenance of all box office operations, consistent leadership, and the maintenance of open communication in order to contribute towards a dynamic and confident work environment. This involves many tools and approaches, including:
Consistent communication with SBOM,
Providing information and resources to associates,
Coaching and developing associates for current and future duties,
Balancing concern for the morale of the staff with a result-oriented environment,
Communicating expectations and concerns,
Asking questions of staff and management to gather information,
Seeking expertise, advice and perspective,
Being flexible with priorities and job duties,
Providing support across the organizations,
Proactively using slower periods to improve work, take on archiving projects, and general organization.
The Associate Box Office Manager must also provide strong leadership and support in maintaining a positive customer service experience at the window and on the phone, training the staff in proper customer relations and proving feedback and taking corrective measures, as needed. Customer service is paramount and often the first experience the customer has with the show. Continually providing direction on how to provide a positive experience for the customer and holding the staff accountable is vital.
