Position Description
POSITION: OPERATIONS MANAGER
Status: Full-time position, Exempt
40 hours/week
Reports to: Vice President
The OPERATIONS MANAGER is responsible for being the primary show and venue contact for all presenting agreements in Austin, Houston, New Orleans, Omaha, San Antonio and Tempe and manages all show settlements in those markets.
Major responsibilities include:
• Work in conjunction with Vice President to oversee season matrix and individual ticket schedules for all presentations in Austin, Houston, New Orleans, Omaha, San Antonio and Tempe.
• Work in conjunction with Vice President to create and evaluate budgets for all presentations in Austin, Houston, New Orleans, Omaha, San Antonio and Tempe.
• Work in conjunction with Vice President to perform weekly forecasts for all presentations and monthly cash flow and projections.
• Assemble, review and prepare all settlement files for all shows; maintain basic settlement files in Houston; includes advance preparation of settlement files and documentation needed by staff preparing settlements
• Responsible for settling shows at the venues.
• Coordinate the master settlement calendar ensuring that all settlements are covered.
• Act as a day-of settlement resource for other settlers.
• Coordinate with Vice President, settler and accounting department on revised/final settlements.
• Manage all informational and operational issues for upcoming shows including contract terms, technical riders, expense estimates, scripts, insurance certificates, guarantee checks, taxes, contractors, reviewing Box Office statements, etc.
• Manage relationships and information flow between company managers and venues to prepare for upcoming shows.
• Manage relationships and information flow with unions and/or labor contractors.
• Prepare labor and technical estimates for all productions for budgets.
• Provide accurate budget information for Schedule B's for region.
• Manage relationships and information flow with orchestra contractors to prepare for upcoming shows that have local orchestra requirements.
• General administrative duties including:
o Prepare accounts payable vouchers (G&A and show-related)
o Track and coordinate barter arrangements such as hotel sponsorship, etc.
• Assist with proofing marketing and collateral materials
• Work with Director of Operations to manage all of these responsibilities.
