Executive Assistant (Blue Sky Studios)
This role provides administrative support to the Executive Vice President & Chief Operation Officer and Sr. Vice President, Administration & Finance. Responsibilities will include but not limited to: general office administration which includes record keeping, coordination of meetings, and travel, correspondence, preparing expense reports as well as assembling confidential and sensitive information. Independent judgment is required to plan, prioritize, and organize a diversified workload in a fast paced creative environment.
Essential Functions/Responsibilities:
• Manage and maintain the business and travel calendar.
• Schedule meetings, maintain travel itineraries and prepare expense reports.
• Coordination of meetings, conference calls, and Live Meetings (schedules, sends invites, secures conference room, arranges media, supplies food and beverages).
• May prepare visual presentation materials for executive-level meetings using PowerPoint and Excel.
• Manage special projects.
Qualifications:
• 5 years experience as an Executive Assistant
assisting Sr. Executives of a small to mid size organization,
preferably from a creative/ media company.
• Self-starter qualities with the ability to think ahead and be proactive in the context of current business needs.
• Excellent
organizational and communication skills (oral and written) and the
ability to excel at details, multi-tasking and working under pressure.
• Ability to meet deadlines, prioritize and organize work flow.
• Team player with ability to be flexible while working in a fast-paced, creative, deadline-driven, ever-changing environment.
• Ability to work collaboratively with all levels of employees.
• Strong analytical and proofreading skills.
• Ability to exercise professionalism and tact and maintain a high degree of confidentiality.
• Strong knowledge of Microsoft Office Word, Excel, Outlook and PowerPoint.
• Demonstrated internet research and navigation skills.
• Ability to operate media equipment (video conferencing, phone conference lines, web meetings).

• Office working environment
• Walking/bending/sitting/standing
• Approximately 50% of time spent working on a Computer.
