BiCoastal Production is a boutique entertainment agency located in Midtown Manhattan. Our clients include theaters, performing art centers, private events, and casinos throughout the US. Our staff includes several millennials on up to senior agents---a truly diversified office of eight people in a modern and enjoyable workspace. This position offers hands-on experience with a fast-growing entertainment agency. The Administrative Assistant will jump right into a collaborative and dynamic creative environment, with the opportunity to take part in each step of the artist/presenter booking process.
We are seeking a part-time Administrative Assistant for 24-30 hours per week to provide administrative support to our Senior Vice-President and our team. Candidate may be considered for advancement after one year.
Responsibilities include, but are not limited to:
-General administrative support to the Senior Vice-President, managing partners, and various talent agents
-Answering phones
-Updating contact database in Outlook and Constant Contact
-Writing and processing contracts and term sheets
-Keeping track of all statuses of contracts and deposits
-Tracking ticket sales of booked shows
-Communicating with clients and buyers
-Other administrative tasks, as needed
Qualifications:
-1+ years of office experience required
-Highly organized with a love of music, theater and the arts is essential
-Excellent written and verbal communication skills
-Appropriate phone manners
-Candidate MUST be comfortable working with computers (Outlook, Word, Excel, Powerpoint, Google Suite)
-Native-level proficiency of the English language
-College degree preferred, but not required
-Social media knowledge preferred, but not required
